Job Summary The Ophthalmic Clinical Coordinator is an experienced Ophthalmic Assistant or Technician who provides advanced direct and indirect patient care while serving as a clinical leader for ophthalmic support staff. This role is responsible for daily clinical oversight, staff training, onboarding, competency validation, and workflow coordination to ensure high-quality patient care, provider efficiency, and adherence to clinical standards. The Ophthalmic Clinical Coordinator works collaboratively with Ophthalmologists, Optometrists, and the Practice Manager to support clinical operations, reinforce standard operating procedures, and promote continuous improvement. The role functions as a clinical resource, mentor, and escalation point for ophthalmic support staff while maintaining active participation in patient care and procedural support. Minimum Qualifications Minimum Education: High School Diploma or Equivalent Minimum Years of Experience: 3 years of experience as an Ophthalmic Assistant or Ophthalmic Technician Substitutable Education & Experience: None. Required Certifications/Licensure: International Joint Commission on Allied Health Personnel in Ophthalmology (IJACHPO) certification as an Ophthalmic Assistant (or higher). Essential Functions Provides day-to-day clinical oversight of ophthalmic support staff, ensuring appropriate staffing, role coverage, and adherence to clinical workflows. Serves as clinical lead and subject-matter expert, offering real-time guidance and troubleshooting, and escalation support to staff. Orients, trains, and mentors new and existing ophthalmic support staff, including onboarding, skill development, and role progression. Identifies educational needs of ophthalmic support staff and provides input into educational programs. Serves as role model for ophthalmic support staff by maintaining all required certifications, competences and mandatory education. Provides input and assists with performance evaluations for ophthalmic support staff during probationary periods and annual reviews. Communicates feedback to the Practice Manager regarding staff performance, training needs, workflow challenges, and clinical quality opportunities. Supports change initiatives, new equipment implementation, and process improvements through staff education and modeling best practices. Identifies performance concerns and initiates personnel action for performance issues utilizing appropriate channels and procedures. Will assess human resource needs and plan and evaluate employee activities to ensure safe, effective and fiscally sound operations. Demonstrates ability to work with personnel in a manner which fosters positive employee development and performance. Follows up on performance issues within assigned area of responsibility Coordinates and documents initial and ongoing competency assessments, validations, and remediation plans in collaboration with leadership. Reinforces adherence to standard operating procedures, clinical protocols, and regulatory requirements. Represents the clinical staff at various meetings and serves on committees as assigned. Provides direct patient care consistent with scope of practice, credentials, and office standards. Performs pre-exam testing to including but not limited to: visual acuity assessment, including pinhole and glare testing, confrontational visual field testing, assess extraocular muscles, pupillary evaluation, tonometry, assess angles, pupillary dilation, and all other patient services as requested by the physician including, but not limited to: color vision screening, stereopsis, and dry eye testing. Performs lensometry and specialized testing including, but not limited to: visual fields, keratometry, A/B scans, ophthalmic photography optical coherence tomography (OCT), and Optical Biometry (IOL Master). Perform retinoscopy and refractometry. Assist with minor surgical procedures or laser treatments in the office as directed by physician. Assist with fitting contact lenses and instruct patients in care and insertion of lenses Duties & Responsibilities Accurately documents patient information, testing results, and clinical observations in EPIC. Functions as a Clinical Scribe as needed: While functioning in the Scribe role the Clinical Scribe must adhere to LMC’s policy and procedures for scribes. Verifies accuracy and completeness of patient charts and initiates corrective actions when necessary. Records patient data and observations relevant to patients needs and in accordance with credentials. Assists with appointment scheduling, referrals, and medical record requests as appropriate. Manages medications according to LMC policy, procedures and within scope of practice for credential. Educate patients regarding administration of medications and pre- and post-operative instructions as directed by physician. Recognizes need for safety measure and takes appropriate action to prevent injury. Maintains a clean, organized, and appropriately stocked clinical environment. Oversees room readiness, supply restocking, and environment checks per Lexington Heath and regulatory standards. Clean surgical instruments in preparation for sterile processing. Inspect instruments periodically for damage, send for repair, and request a replacement, as necessary. Participates and oversees inventory management of ophthalmic supplies, pharmaceuticals and equipment. Assists in performing and documenting environmental checks as required by LMC policy and regulatory agencies. Provides safety measures in accordance with office standards. Works in a cooperative manner that is consistent with LMC’s Service Expectations policy. Models professionalism, accountability, teamwork, and effective communication. Uses time, equipment, and resources efficiently while coordinating multiple priorities. Maintains required certifications, completes annual competencies, safety training, and employee health requirements.
