Position Overview We are seeking a highly organized and forward-thinking Knowledge Management and Content Specialist to support the firm’s business development and marketing efforts. This position will report directly to the Marketing Technology & Innovation Manager and work closely with the Business Development (BD) & Marketing teams to highlight attorney and Firm expertise for all marketing and business development channels. The role will be instrumental in tailoring messaging, aligning capabilities with client needs, and leveraging technology to improve processes. This role will draft and manage database content and use AI and technology platforms to drive efficiency, quality, and the client prospect experience. Collaborating closely with attorneys, colleagues, and functional teams will be paramount to ensure client-facing materials are accurate, polished, and strategically aligned. The typical schedule will consist of 7.5 hours per day, equating to 37.5 hours per week. There are no direct reports for this position. Key Responsibilities In this role, you will collaborate across teams under the guidance of the Marketing Technology & Innovation Manager to ensure client-facing materials are accurate, polished, and strategically aligned. Pitch Management • Leverage AI tools and collaborate with attorneys and colleagues to create targeted, persuasive, client-centered prospect proposals under the direction of the BD managers. • Coordinate with BD managers and attorneys to ensure prospect needs are matched with the firm’s capabilities and differentiators. • Support efforts to clarify messaging, roles, client objectives, and timelines tailored to each prospect’s industry, geographic location, and legal challenges. • Draft and edit proposal submissions to ensure compliance, accuracy, timeliness, and visual polish consistent with branding guidelines. • Monitor proposal metrics, trends, and outcomes, using AI tools to synthesize reporting and insights for continuous improvement and client-centric messaging. • Perform basic design and formatting of proposal and marketing materials using Microsoft Word, Adobe Acrobat, Canva, and other tools as needed. Experience Database & Content Management • Serve as the firm’s content steward and database administrator for the experience management platform (e.g., Quorus, Foundation, Intapp). • Ensure all materials align with firm branding, tone, and positioning standards • Update website content with the firm’s latest materials, including attorney bios and practice/industry team webpages, ensuring accuracy and alignment with recent pitches, RFP responses, and firm accomplishments. • Oversee the migration of existing content into a new proposal management system, building scalable processes. • Collaborate with attorneys and practice group leaders to capture new matters and update historical experience in the database. • Use AI and other tools to maintain and enhance the centralized library of proposal content, boilerplate text, matter experience, attorney bios, and practice descriptions. • Structure content with categories and tagging tools and manage data entry workflows to ensure accurate and complete metadata for all experience records (practice area, industry, parties, outcomes, jurisdictions). • Build dashboards, reports, and taxonomies that enable attorneys and BD teams to find the most relevant experience and content quickly to respond to prospect requests. Seek patterns and create reports to inform future prospect pipelines. • Develop and edit other marketing and business development content, such as attorney bios, as needed. • Partner with the Marketing Technology Manager to design and implement AI-supported workflows and use the Microsoft 365 ecosystem to streamline proposal and content management and increase efficiency. • Collaborate across business development, practice, marketing, and client development teams to integrate AI into team workflows and drive firmwide adoption of experience management tools. • Partner with the Marketing Technology Manager to evaluate AI-driven tools and emerging technologies to continuously refine processes and stay ahead of industry best practices. • All other duties as assigned by attorneys and marketing/BD leaders. Qualifications • Minimum five years of experience in legal or professional services industry marketing and a bachelor’s degree in business, marketing, communications, English, journalism, library/information science or related field, or the equivalent combination of education and job experience. Legal industry or grant writing experience strongly preferred. • Experience leveraging AI tools (ChatGPT, Copilot, or similar) in content creation, workflow optimization, or reporting. • Proficient in the use of CRM and proposal automation platforms. Familiarity with Intapp DealCloud, Foundation, Loopio, Qorus, and Content Pilot preferred. • Strong writing, editing, and storytelling skills in a professional services environment. • Keen attention to detail and proofreading skills with exceptional grammar and punctuation. • Self-starter who takes initiative and has experience managing database content. • Persuasive skills and experience matching firm capabilities with client needs. • Proficient in the Microsoft 365 ecosystem, with expertise in applying Copilot and related tools. • Technology enthusiast with a passion for developing AI best practices and familiarity with predictive and generative AI functionality. • Excellent organizational and project management skills; able to balance multiple priorities in a fast-paced environment. • Collaborative, proactive, and client-service oriented with ability to adapt quickly to changing technology and prospect needs. • Strong interpersonal and communication skills. Ensures appropriate AL notice is given in a timely manner. Approves time in Kronos at the end of each pay period.
